AI Executive Dashboard for Real Estate Investors: A Four-View Claude Setup
By Alex Regueiro · October 25, 2026 · 5 min read
A multifamily CEO can spend the first hour of every day assembling a picture of the business from an inbox, a budget file, a deal folder and a stack of property reports. None of it is difficult, and all of it is slow.

This is the setup we built for the CEO of a multifamily real estate investment company, on a single build call, using Claude. It is written for real estate investors and teams who want one live view of the business and do not want to wait for a perfect integration. We report no outcome yet, because the check-in that would confirm the data flows was set for the following week.
The situation
The CEO works across several systems: a Gmail account, the company's main office suite for email and calendar, a shared Drive, budget files, deal underwriting and reports from the property managers. The information that matters sits in all of them.
The goal of the session was to give the CEO a working environment where those sources feed a small set of live views, with the CEO using them hands-on from the start.
What was scattered
The picture was spread across the inbox, the office suite, the shared Drive, the budget files and the property management reporting. Each one answered part of a question, and none of them had a live view over it.
We did not try to replace any of these sources. We put one working layer on top of them.
What we built
We built a Claude environment first, then four live dashboards on top of it.
- Connectors to Gmail, the company's office suite and Google Drive, so Claude can read the sources the CEO already uses. The office suite connector needed an administrator's approval inside the company, so we added that as a task.
- An executive inbox dashboard.
- A morning briefing dashboard for the start of the day.
- A budget versus actual dashboard.
- A deal underwriting analyzer.
- Property management reports emailed automatically every Tuesday through recurring autoresponders, which became the main data feed for the dashboards.
- A habit of recording all team meetings on the company's video meeting platform, because Claude can only pull tasks out of calls that have transcripts.
What changed
We have no outcome to report. We set a check-in for the following Tuesday afternoon, after the first set of reports arrived, to confirm the data flows correctly. The CEO's own assignment was to review all four dashboards daily before the next call, so the next session could go to refining the output and building scheduled tasks.
The weekly email is a workaround, and we say so. A direct connector to the property management system would replace weekly PDF ingestion with real-time data pulls. The company was following up on a beta access request for one. Until then, the dashboards are only as fresh as the last Tuesday report.
Start with the data you already receive
This section is advice for your own business. Make a list of every report that reaches your inbox on a schedule. Each one is a feed you can use today, even without an integration.
Pick the two or three questions you ask most often, such as what needs me today, how are we against budget and does this deal pencil. Build one view per question, and review them daily for a week before adding anything. Hands-on use shows you what the dashboards are missing faster than any planning meeting.
Frequently asked questions
What should an AI executive dashboard for a real estate investor include?
In this build, four views: an executive inbox, a morning briefing, budget versus actual and a deal underwriting analyzer. Start with the questions you ask every day. The views should answer those questions, not mirror every system the company owns.
How do you feed property management data into a dashboard without an integration?
In this build, the property reports are emailed automatically every Tuesday, and they become the main feed for the dashboards. It is a workaround. A direct connector would give real-time data instead of weekly PDF ingestion, so we kept watching for one.
Why record team meetings for an AI setup?
Claude extracts tasks from call transcripts, so a meeting that is not recorded produces no tasks. We asked the CEO to record all team meetings on the company's video meeting platform going forward so that the transcripts exist.
How often should an executive review the dashboards?
Daily, at least at the start. The CEO was asked to look at all four every day before the next call, so we could spend that call on refining the output and building scheduled tasks. Daily use is how gaps in the views show up.
