AI Meeting Notetaker Not Taking Notes? A Wrong-Account Fix and a Zapier Voice Pipeline

By Alex Regueiro · October 25, 2026 · 5 min read

An AI notetaker that quietly stops producing notes is worse than no notetaker, because everyone assumes the record exists. For one commercial real estate investor, no meeting notes had been generated since the previous conversation.

The cause turned out to be small and common: the wrong email account was connected. This is the diagnosis, the fix, and a second build that sends voice recordings from property visits into Claude through Zapier. It will matter to any of the real estate agents and investors who capture ideas out loud while walking a property.

The situation

The investor owns a multi-property portfolio and uses an AI notetaker inside ClickUp to record and summarize meetings. No notes had come through since the previous conversation. There was also a second, separate gap. The investor records voice notes during property visits, and those recordings were not reaching Claude, so the thinking done on site never reached Claude.

What was broken

Three small problems were stacked together.

  • The notetaker was connected to the wrong email account, so it never saw the meetings it was supposed to join. That is why no notes were produced.
  • A Google calendar with no events in it was attached to the ClickUp calendar view and was creating confusion about what was on the schedule.
  • Voice recordings made on site had no path into Claude.

What we built

The fix for the first two problems was a matter of configuration. The third took a short automation.

  • We connected the correct email account to the ClickUp notetaker, which is the actual fix for the missing notes.
  • We removed the empty calendar from the ClickUp calendar settings.
  • We built a Zapier automation that sends each new voice-recorder transcript into a cloud storage folder, where Claude can find it and summarize it.
  • The full path is: the recorder captures the visit, Zapier moves the transcript, the folder stores it, Claude summarizes it, and the action items can then become ClickUp tasks.

What changed

No outcome is stated yet. The end-to-end test was still pending. The investor was asked to record a property visit that same day with the voice recorder and a phone, then ask Claude to find the newest recording and summarize it. If the summary appears, the whole pipeline works.

There is one limit worth knowing. The Zapier automation only captures new recordings. Anything recorded before it was built does not come through on its own, so the older recordings need a bulk export into the storage folder. That export was assigned as a follow-up.

Check your own notetaker in ten minutes

This section is advice. Open your notetaker's settings and confirm which account is connected. It should be the account that holds the meetings you want recorded. Then look at the last three meetings on your calendar and confirm each one has a note. If any is missing, the connection is the first suspect, ahead of the meeting itself.

Remove calendars you do not use. An empty calendar adds clutter and makes it harder to see why a meeting was not picked up. And before you trust a voice-to-summary pipeline, run one real recording through it end to end and look at the result.

Frequently asked questions

Why would an AI notetaker stop generating meeting notes?

In this case it was connected to the wrong email account, so it could not see or join the meetings. Check which account is linked to the notetaker and which calendar holds your meetings. A mismatch there can silently stop all notes.

How do voice recordings get from a recorder into Claude?

We used Zapier to send each new transcript from the voice recorder into a cloud storage folder. Claude can then find the newest file and summarize it, and the action items can become ClickUp tasks.

Does the automation process recordings made before it was built?

No. It only captures new recordings from the point it was turned on. Older recordings need a bulk export into the storage folder before Claude can summarize them, and that was assigned as a follow-up task.

How do you know the pipeline works?

You test it end to end. The investor was asked to record a property visit, then have Claude find the newest recording and generate a summary. That one run proves the recorder, Zapier, the folder and Claude are all connected.
