AI Notetaker Action Items Not Becoming ClickUp Tasks: Six Captured, Zero Assigned
By Alex Regueiro · October 25, 2026 · 5 min read
An AI notetaker that writes down six action items and creates zero tasks is a quiet failure, because everyone assumes the follow-up is handled. That is what a review of one mortgage team's meeting workflow turned up.

The team was led by an owner using Claude, ClickUp and GoHighLevel together. For mortgage loan officers and lending teams that adopt AI notetakers, the gap between "captured" and "assigned" is where accountability disappears.
The situation
We walked through the full integration between ClickUp, GoHighLevel and Claude to clarify how call data, tasks and transcripts should move between them. The test case was the previous meeting. The notetaker had captured six action items from it. None of the six had been deployed as an assigned task in ClickUp.
The same pass turned up more gaps on the GoHighLevel side.
What was broken
The review surfaced one broken automation and four neglected parts of the account.
- The auto-assignment engine did not deploy the tasks the AI generated. Six were captured and zero were deployed.
- The referral-partner pipeline had zero contacts in GoHighLevel.
- Almost half of the 33 referral contacts had unsigned agreements.
- The reactivation pipeline, meant for past clients, was the most underutilized part of the account.
- There was no fresh refinance data for the FHA cash-out ads the owner wanted to launch.
What we set in motion
The root cause of the missing tasks was still open when the call ended, so we made the fix a dated task with an owner and put the other repairs next to it.
- Troubleshoot the auto-assignment engine so the tasks the AI generates deploy in ClickUp, due within a day.
- Reformat the referral contacts as a CSV and bulk-import them into GoHighLevel.
- Follow up on the unsigned agreements inside the reactivation pipeline.
- Upload past-client contacts into the reactivation pipeline.
- Share white-label funnel details with a partner, and plan a mailer campaign with QR codes as another lead channel.
- Schedule a separate follow-up call for the FHA cash-out ads.
What changed
No fix had been confirmed when the call ended, and there is no result to report. The change was in visibility. The team could now state the break as a count, six in and zero out, instead of a feeling that tasks were not showing up.
Every empty or neglected part of the account also had a named owner and a due date inside the same week. Both kinds of failure, a broken automation and an empty pipeline, look fine from a distance. Putting numbers on them is what made them visible.
Check your own notetaker-to-task chain
This is advice for your own account. Pick one recent meeting and count the action items the notetaker listed. Then count the tasks that exist in your task manager with an owner and a due date.
If the numbers differ, trace the chain in order: capture, task creation, assignee matching and deployment into the board. Fix the earliest broken link first, then rerun a meeting as the test.
Frequently asked questions
Why would an AI notetaker capture action items but not create tasks?
Capture and task creation are separate steps. Items can be written into a summary without ever being pushed into the task tool, or they can fail at assignment. Here the cause was still being traced, so the first move was comparing items captured to tasks deployed.
How do I check whether my notetaker is creating tasks?
Take one recent meeting, count the action items in the notes, then count the tasks in your task manager that have an owner and a due date. A gap means the chain is broken somewhere between capture and assignment.
How should referral partner agreements be tracked in a CRM?
Give each partner a record in a referral pipeline with a clear stage for agreement status, so unsigned ones are visible and can be followed up. Here almost half of 33 referral contacts had unsigned agreements, which is hard to act on while the pipeline holds no contacts.
What is a reactivation pipeline?
It is a pipeline for past clients and dormant contacts, set up so each one gets a deliberate follow-up. In this account it was called the most underutilized pipeline, so uploading past-client contacts into it was one of the first repairs.
