Answering Service Call Tracking in GoHighLevel: Closing the Gap for a Restoration Company

By Alex Regueiro · October 25, 2026 · 5 min read

Calls that an answering service transfers on can vanish from your lead tracking, and nobody notices until the numbers do not add up. That was the gap for the owner of a restoration company with a field crew: the answering service took the call, but transferred calls never showed up in the GoHighLevel pipeline.

This story covers how we mapped the full path from a field recording to a billed job, and how the transfer number is set to move into GoHighLevel. If you run a service company that depends on inbound calls, see our page for home service businesses.

The situation

The company used an answering service for call intake, and the service transferred calls on to the company. Those transferred calls were not captured in GoHighLevel, which meant the pipeline missed them.

A second problem sat behind it. Job and billing data lived in a separate field system. Even a well-tracked lead would stop at the edge of GoHighLevel and have no link to the job it became.

What was broken

There were two disconnected systems and a handoff in the middle that nothing recorded.

The answering service took the call in. GoHighLevel tracked what it received. The transferred call sat between the two and never reached the pipeline. The field system held the job and the billing record, and nothing linked it to the lead that started it.

What we built

We mapped the whole data pipeline first, then set the call path.

  • Voice recordings from the field crew feed GoHighLevel tracking, and the job and billing system is the endpoint and source of truth.

  • The voice recorder was chosen because it supports MCP connections and native API integrations, which makes it possible to connect it to both GoHighLevel and the job system.

  • The answering service's transfer number moves into GoHighLevel, so every inbound call is recorded automatically and routed with round-robin forwarding.

  • A build session was scheduled. We needed a login to the job system and 5 example field notes before it.

What changed

No outcome was stated at this point, because the build session had not happened yet. We are not going to claim a lead count.

What changed is the design. Before this call, the path from a ringing phone to a billed job crossed three systems with a gap in the middle. After it, the path was mapped end to end, the calls had a defined landing place and a routing rule, and the endpoint was named.

Check your own call path

This is advice for any service business that uses an answering service or a call center.

Call your own number after hours and follow the call through every system it touches. Then ask whether the transferred call appears in your CRM. If it does not, you have the same gap. Also check what rules apply to recording calls where you operate, and make sure callers are told, before you turn on automatic recording.

Frequently asked questions

Why do transferred calls go missing from my CRM?

When an answering service transfers a call to your office number, the call can bypass the system that records leads. If the transfer number is not routed through the CRM's phone system, nothing logs it. Moving that number into the CRM closes the gap.

What is round-robin call forwarding?

It passes each incoming call to the next person in a set of numbers, in order, so no single person takes every call. In this plan, the transfer number sits in GoHighLevel, and calls are recorded and routed that way.

Why did we choose a recorder with MCP and API support?

Because the recordings need to flow into other systems. A recorder with MCP connections and native API integrations can push field data into GoHighLevel and the job system. One that cannot would leave someone copying notes by hand.

Should the job system or the CRM be the source of truth?

In this build the job and billing system was the endpoint and source of truth, because it holds what was done and billed. GoHighLevel tracks the lead on the way there. Decide this up front, so two systems do not disagree later.

If you are not sure that every call your answering service takes ends up in your CRM, book a 30-minute AI follow-up and reporting audit. We follow a call from the first ring to the job record and show you where it drops out.
