Auto-Recorded Calls in GoHighLevel: Closing the Call-Capture Gap Before a 500-Message Trial

By Alex Regueiro · October 25, 2026 · 5 min read

A mortgage team can send hundreds of outreach messages and still have no record of what was said on the phone. That was the gap for one mortgage team owner: meetings happened without capture, outbound calls were siloed and unrecorded, and lead data sat in several lists.

This is a design and trial plan for mortgage loan officers and their teams, written from a working session. The build was not finished on the call, so treat it as a plan with a test attached.

The situation

The owner and a small team were preparing a controlled round of outreach through GoHighLevel. The call named meetings without capture as the biggest gap.

There were smaller problems around it. Several Claude connectors still showed "needs approval" during the call, and the owner was unsure which pipeline a given lead belonged in.

What was broken

Four gaps sat between the team and any usable record of its work.

  • Meetings were not captured, so decisions and follow-ups lived in memory.

  • Outbound phone conversations were siloed and unrecorded.

  • Lead data sat in many separate lists with no clear pipeline for each.

  • The Claude connectors to ClickUp and the other tools were not yet approved.

What we built

We specified one accountability loop made of five parts.

  • A ClickUp AI notetaker that joins every meeting and turns what was said into tasks. It is the core accountability tool.

  • GoHighLevel phone numbers for two team members, so their outbound calls are recorded automatically in GoHighLevel.

  • Lead data consolidated into three lists at most, then loaded into GoHighLevel as smart lists. A pipeline prompt was queued to help answer which pipeline each list belongs in.

  • A "second brain" role. One person manages the ClickUp board and the GoHighLevel pipeline every day.

  • A human check. Because the AI can misassign tasks, a team member validates the tasks the AI generates before anyone acts on them.

What changed

The trial had not started when the call ended, so there was nothing to measure yet. To test the system before scaling it, we set a controlled trial of 500 messages from Monday through Thursday, with a review meeting on Thursday at 3pm to look at what the data showed.

The change was in structure. Outbound calls were about to move onto numbers that record themselves, lead data was about to shrink from many lists to three at most, and every meeting was about to run through the notetaker. The first real evidence was meant to come from that Thursday review.

Run a small trial before you scale outreach

This section is advice for your own rollout. Cap the batch and define what you will measure before it starts. Useful counts include leads contacted, calls recorded, tasks created and tasks assigned to the right person.

Put the review on the calendar before the trial begins, and keep a person checking the tasks the AI creates for the first few weeks. Message only people you may lawfully contact, honor opt-outs, and tell people when a call is being recorded.

Frequently asked questions

Why test with 500 messages before scaling outreach?

A fixed batch over four days is enough activity to see whether calls are recorded, leads land in the right pipeline and tasks get created, without committing the whole list. The review then turns the batch into data for the next decision.

How do you record outbound calls automatically in GoHighLevel?

Place calls from a GoHighLevel phone number instead of a personal line, with recording turned on. In this plan two team members got GoHighLevel numbers. Check your state's recording-consent rules and tell people the call may be recorded.

Can an AI notetaker be trusted to assign tasks?

Not without a check. The call noted that the AI can misassign tasks, so one team member reviews the generated tasks. Treat the notetaker as a fast first draft and keep a person responsible for what ends up on the board.

Why limit lead data to three lists?

Lead data tends to pile up in many files, which makes it hard to decide which pipeline each lead belongs in. Capping it at three lists gave the team a short set of sources to load into GoHighLevel as smart lists.

If calls and meetings leave your team with no record, book a 30-minute AI follow-up and reporting audit. We map where conversations go uncaptured and what it takes to close the gap.
