Automated Video Outreach for Short-Term-Rental Managers: One Audit Video Instead of Many

By Alex Regueiro · October 25, 2026 · 5 min read

Every prospect got a custom video, which meant every new conversation started with the owner sitting down to record something. That was the bottleneck in the outreach of a short-term-rental management and acquisitions company, and it tied the number of prospects he could reach to the hours he had to record.

The owner ran both sides of the business, managing rentals and buying properties, and he recorded the videos himself. This write-up covers the funnel we mapped for him, and it is meant for real estate agents and investors whose outreach depends on one person's recording time.

The situation

The owner already had a GoHighLevel account in place. During a monthly CRM review call, we went through the existing setup together.

For each prospect he recorded a custom one-off video and sent it, and the steps around it were manual too. The video worked as a pitch, but it also made the whole process manual.

What was broken

Three steps in the outreach each needed the owner to touch them:

  • Spotting the prospect's main pain point and deciding what to say about it.
  • Recording and delivering a video made for that one person.
  • Getting the prospect onto his calendar.

What we built

We mapped one outreach funnel that handles pain-point identification, video delivery and Calendly booking without the owner touching each step. Then we lined up the pieces around it.

  • Three GoHighLevel pipelines, one for his own brand and one for each of two outside platforms that send him leads. These were being built when the call ended.
  • One generic property-audit video to sit inside the automated sequence in place of the custom recordings.
  • A voicemail-drop script, to be re-recorded with a proper microphone.

What changed

No result was reported at this stage, because the funnel was still being built. The change was in how the work is divided. Before, the owner's recording time was the first step in every prospect's path. In the new design, his one recording is the property-audit video, and the pipeline handles the rest: moving the prospect through stages, delivering the video and offering a booking link.

The pitch is no longer recorded fresh for each person, and that is a tradeoff. The thing to watch once the funnel is live is whether prospects who receive the generic video still book calls.

When one video can replace many

This section is advice, not a record of the client. Write down what your custom video says to each prospect. If most of it is the same, with only a name or a property detail changed, film the common part once. Keep the personal touch for the step where a person actually replies, such as the call itself.

Check consent too. Automated texts and voicemail drops should go only to people who gave you their contact details and have not opted out. Build the opt-out handling into the pipeline before the first send.

Frequently asked questions

Can a generic video replace a custom video for each prospect?

It can take over the part that is the same for everyone, such as a walk through of what a property audit covers. In this build there is no result yet, so we cannot say how booking rates compare. The practical test is whether booked calls hold steady once the custom recordings stop.

What does a GoHighLevel pipeline do in a video outreach funnel?

It tracks where each prospect is, from first contact to booked call, and triggers the next message when a stage or tag changes. With a separate pipeline for each lead source, the owner can see how each source moves without sorting through one mixed list.

Why connect Calendly to the funnel?

Booking is the step most likely to stall when it is manual. A booking link inside the automated sequence lets the prospect pick a time without a back-and-forth, so the owner does not have to arrange times by message.

Should a voicemail drop be part of the sequence?

It can be, if it goes only to people who shared their number and have not opted out, and if the audio sounds professional. In this build the script was due to be re-recorded with a proper microphone.

If your outreach slows down every time you have to record or write something fresh, book a 30-minute AI follow-up and reporting audit. We map each manual step in your funnel and show you which ones can run on their own.
