Business Calls on GoHighLevel Numbers: Getting an Operation Off Personal Phones

By Alex Regueiro · October 25, 2026 · 5 min read

When a business runs on personal phones, each phone is a single point of failure and nobody else can see what was said. That was the setup at a real estate investing company, and it caused a second problem. Without call recordings, no one could tell whether poor cold-calling results came from bad data or from bad caller performance.

The owner runs a real estate investing company in the Midwest and a separate service business. We worked through the fix on a monthly strategy call. If you manage real estate investors and teams with a similar mix of vendors, subcontractors and outside callers, the same exposure is likely sitting in your phones.

The situation

Business communications ran through personal phones. That left the owner with no visibility into conversations with subcontractors and vendors, and it made each phone a single point of failure.

At the same time, an outside calling vendor was doing the cold calling, and the results were poor. The owner could not say why.

What was broken

Both problems had the same root. The evidence lived somewhere nobody could reach.

Cold-calling results can be poor for two very different reasons. The list can be bad, or the calls can be bad. The fix for one is a new data source. The fix for the other is coaching or a new caller. Without recordings, those two causes look identical, and money gets spent fixing the wrong one.

What we built

We decided on a short list of changes, starting with the phones.

  • One home for business communication. All business communications move onto GoHighLevel numbers set up for the owner and the operations lead, so calls and messages are visible and no single phone holds them.

  • Buy-in from the person who talks to everyone. The field lead is the main contact for subcontractors and vendors, so the plan was to position the change with that person first. The move only works if the main contact uses the new numbers.

  • Call audio for diagnosis. The plan was to obtain the calling vendor's audio files for the last 30 days. With recordings, we can listen for whether the data or the callers are the problem.

  • An ad audit in Claude. The owner's team was to send exports from the Meta ad accounts, and we planned to run the audit in Claude that night so results would be ready for a review call the next day.

  • An A/B test for the service business: broad targeting against a 1% lookalike audience.

What changed

No result was reported yet. The numbers were still being provisioned and the audio was still to be collected. What changed is that the business now has a plan to own its communication records, and a way to answer the data-or-callers question with evidence.

The A/B test has the same shape. Two audience approaches will run against each other, so the choice between them comes from results instead of opinion.

Get your business off personal phones

Pick the people whose calls matter most and give them business numbers in your CRM first. Talk to the person everyone already calls before you announce anything, since the change fails if that person keeps using a personal phone.

If you pay an outside caller, ask for the recordings now. Listening to a sample of calls tells you more about a bad month than any dashboard will.

Frequently asked questions

Why centralize business communications in GoHighLevel numbers?

Calls and messages on CRM numbers are visible to the people who need them and stay with the business when a phone is lost or a person leaves. Personal phones make each person a single point of failure with no shared record.

How do call recordings show whether results are a data problem or a caller problem?

Listening to the calls shows whether callers reach the right people and handle the conversation well. If they do and the leads still do not come, the list is the likelier culprit. Without audio, you cannot separate the two.

What is a 1% lookalike audience?

It is an audience Meta builds to resemble a source list, limited to the people who most closely match it. In this plan it was tested against broad targeting for the service business, so the better approach can be chosen from results.

Who should hear about the change first?

The person who talks to the most subcontractors and vendors. If they adopt the new numbers, everyone else follows. If they do not, the personal-phone habit continues no matter what the rest of the team does.
