Business Phone Line for Loan Officers: Moving Off a Personal Cell Into GoHighLevel
By Alex Regueiro · October 25, 2026 · 5 min read
A loan officer who runs his pipeline from a personal phone does not have a pipeline. Leads and messages were scattered across his cell number and Instagram, nothing was tracked, and clients kept texting the personal number.

His outreach was also manual, one contact at a time. This post covers the call where we built him a business line, a single inbox and a pipeline in GoHighLevel. It is written for mortgage loan officers who still manage leads from a personal device and want to see what the move looks like in practice.
The situation
The loan officer was moving from his personal cell number to a business line that he owns. His leads arrived wherever people happened to reach him: a text to the personal number or a message on Instagram.
The call was a finish-the-build session. It covered a working business line, an inbox on desktop and phone, a pipeline demonstrated live, and a plan for the first outreach.
What was broken
There was no pipeline. Nothing showed who was a cold lead, who had been sent a form, or who needed a call. Messages sat in two apps and on a personal phone.
Outreach was one-at-a-time and manual, so reaching a list of contacts meant a lot of repetitive work. Nothing was tracked, which meant he could not tell where leads were piling up.
What we built
We built the system in GoHighLevel and demonstrated the inbox and the pipeline live.
- A business number that he owns, so clients have a separate line to text and call.
- A unified Conversations inbox for SMS and Instagram messages, on desktop and on his phone. An inbound-call test rang through the app.
- An Opportunities pipeline, shown live: add an opportunity, set the stage from cold lead to form sent, assign an owner, add a value and a note, and create a task with a due time. Per-stage totals and a dashboard show where leads pile up.
- A planned reactivation pipeline with three stages: message one sent, responded positive and responded negative.
- A planned reactivation text that announces the new number, asks permission to keep texting and includes reply-STOP language. It goes out once the contacts are imported.
- Phone notifications set to immediate, with a persistent banner and lock-screen previews always on.
- The contact card relabeled with the new business number.
- A Claude Project for learning the CRM, plus a skill that drafts replies from a screenshot of a message in the inbox.
What changed
No result was stated on the call. What changed is where the work happens. Texts and Instagram messages arrive in one inbox, a lead can carry a stage and an owner, and a follow-up can be a task with a due time.
The reactivation plan changes the outreach model too. Instead of messaging contacts one at a time, the plan is a three-stage pipeline that tracks who replied and how, and a first message built around permission.
Moving off a personal number
This section is advice for your own move, not a claim about the client. Three checks matter more than any setting:
- Give clients one number to use before you stop answering the old one, and relabel your contact card so the new number is the one people see.
- Make notifications loud enough that a new message cannot sit unseen. Immediate alerts and lock-screen previews are a good start.
- Keep every outreach text permission-based, with a clear way to opt out, and follow the texting rules that apply to your business.
Frequently asked questions
Why separate a loan officer's business line from a personal cell?
Leads and messages were scattered across a personal phone and Instagram, with nothing tracked. A business line puts client texts in one inbox that has a pipeline behind it, so every conversation can be tied to a stage, an owner and a next task.
What stages did the reactivation pipeline use?
Three: message one sent, responded positive and responded negative. The point is to see at a glance who answered and how, so follow-up can go to the right people.
What should a reactivation text say?
The plan was a message that announces the new number, asks permission to keep texting and includes reply-STOP language. Whatever you send, keep it permission-based, honor every opt-out, and check the texting rules that apply to you.
What does the loan officer use Claude for in this setup?
A Claude Project helps him learn the CRM, and a skill drafts replies from a screenshot of a message in the inbox. Review any drafted reply before it goes out.
