Claude Email Triage for Roofing Teams: Stop Missing GoHighLevel Task Notifications
By Alex Regueiro · October 25, 2026 · 5 min read
Tasks were being assigned in the CRM and nobody was reading the emails that announced them. The leaders of one roofing company were not opening the GoHighLevel notifications that landed in their Gmail, so tasks were missed and no one could be held accountable.

This story is about the owner of a roofing company with an estimator and claims manager and field staff. If notification emails are where your tasks go to die, the fix below does the work a virtual assistant would otherwise do. See how we work with roofing contractors.
The situation
We walked the entire GoHighLevel pipeline stage by stage with the owner, and three problems surfaced.
First, leaders were not reading the notification emails GoHighLevel sends to Gmail, so tasks were missed and nobody was accountable. Second, some pipeline stages made no sense to the people using them. Third, the handoff that relied on a note written by a GPT was broken. The field notes were not complete enough for the estimator to work from, which caused delays and confusion on claims.
What was broken
A CRM can create a task correctly and still lose it, because the alert shares an inbox with everything else. The system did its job. The communication layer on top of it did not.
Confusing stages added to the problem. When a stage name does not match how the team actually works, nobody can say who owns a job while it sits there.
What we built
We fixed ownership first and then added the reporting layer.
- Stage-by-stage ownership. We walked the whole pipeline and defined who owns each phase, so every stage has one name against it.
- The first Claude email triage automation. Claude reads the inbox, picks out the GoHighLevel task notices, and sends a morning report into Slack.
- The report goes to all four leaders. Each person needs their own Claude connected, so the setup is repeated for each of them.
- Two new shell pipelines, to be built and reconnected once the existing stages have been reviewed and cleaned up.
- Calendar connections for the reps, so that a form can create an inspection invite automatically. Without the calendars connected, that automation cannot run.
- AI-generated supplement and damage notes, tested three times before the handoff is trusted again.
What changed
No outcome was reported from this call, because the triage had only just been configured. It still needed a dry run and the other leaders' accounts connected.
What changed is that task visibility no longer depends on four people remembering to open their email. A short report lands in Slack each morning, and the pipeline has a named owner at each stage. We also suggested a two-minute video that tells each client what to expect at an inspection, so the customer's expectations match the next steps in the pipeline from the moment of booking.
Check your own notification gap
This section is advice for you, not a description of the client. Ask each leader on your team to open their inbox and count the unread CRM notifications from the last week. If the number is not close to zero, tasks are being missed.
Then ask who owns each stage of your pipeline. If you get two names for one stage or no name at all, fix that before you add any automation.
Frequently asked questions
What is Claude email triage for a roofing company?
It is a Claude automation that reads an inbox on a schedule, finds the messages that need action, such as CRM task notices, and summarizes them. Here it sends a morning report into Slack, so leaders see their open tasks without reading each email.
Why send the report to Slack instead of email?
The goal was to get the information out of a crowded inbox and in front of people. A short message in a team chat tool is harder to ignore than one more notification email.
Does every leader need their own Claude?
In this setup, yes. Each leader's triage reads their own inbox, so each person needs their own Claude connected before the combined morning report can include them. That is why the rollout went account by account.
Why do rep calendars matter for inspection scheduling?
Because a form-to-calendar-invite automation can only book an inspection into a calendar it can see. Until each rep's calendar is connected to GoHighLevel, the automatic scheduling cannot work for that rep.
