Daily Pipeline Audits for Home Inspection Outreach Reps: Fixing Blank GoHighLevel Reports

By Alex Regueiro · October 25, 2026 · 5 min read

Every report showed blank for the outreach rep, even though he was messaging agents. The cause was a single missing step: he was not assigning himself as the owner of the records he worked.

This is the fix we put in place for a home inspection company, and it applies to any of the home service businesses that rely on a person doing outreach inside the CRM.

The situation

The company was launching GoHighLevel alongside its inspection software with a cleaned contact list. The outreach rep messaged real estate agents to ask for inspections. When we looked at the reports, there was no record of that work attached to him.

What was broken

Two problems.

First, reporting depends on ownership. Reports are built around the owner of a record, and the rep had not assigned himself, so his messages did not count toward him.

Second, the contact history was thin. 251 booked contacts had no communication logged beyond the inspection software's automatic reminders. Those people had booked, but no human follow-up had been recorded for them.

What we built

We kept the fix small and made it automatic.

  • We simplified the GoHighLevel workflows, so there were fewer places for a record to go wrong.
  • We set up a daily automated audit, every weekday at 4:55 pm, that tracks the rep's outreach and pipeline movement.
  • We added a pipeline stage for agents who have been re-asked for an inspection, so a second request has a place to be recorded.
  • We scheduled a Friday training at 10 am on owner assignment, stage movement and reporting.
  • We set one rule: all outreach happens inside GoHighLevel, with no spreadsheets or side tools, so reporting attributes it correctly.

What changed

No outcome was stated on this call. The rule and the training were just being set. What differs is the mechanism. The audit runs at the end of each workday, so a day with missing ownership or no stage movement shows up the same afternoon. The rep has a clear instruction on what to do when he messages an agent. And every request sits in a stage that reflects what happened.

The count of 251 booked contacts with no logged communication is a useful number to watch from here, because it shows how much outreach is still missing from the record. The rule against side tools is the part that makes the rest work. If the work happens in a spreadsheet, the CRM cannot see it, and no audit can fix that.

Make ownership the first habit

This section is advice. Teach the owner field before anything else. Run a short daily check that lists records touched but not owned, and records owned but not moved. Keep the stages few and named for what actually happened. Review the output with the rep each week, so the audit feels like a tool and not a trap.

Frequently asked questions

Why do GoHighLevel reports show blank for my sales rep?

Reports attribute work to the owner of a record. If your rep messages contacts without being assigned as the owner, the activity has no one to count toward. Assign the rep as owner when the record is created or moved, and the reports fill in.

What does a daily pipeline audit check?

In this setup it tracks the rep's outreach and the movement of records between stages. It runs every weekday at 4:55 pm, so gaps such as missing owners or untouched records are visible the same day and can be fixed while they are fresh.

Why require all outreach to happen inside the CRM?

Work done in a spreadsheet or a side tool is invisible to reports and audits. Keeping every message and stage change inside GoHighLevel is what lets the system attribute the work, count it and show the owner what is being done.

What should I do about booked customers with no follow-up logged?

Find them first. In this case 251 booked contacts had only automatic reminders from the inspection software. Decide who should reach out, and what the message should be. Then make sure that outreach happens inside the CRM, so it is recorded.
