Full Job Address on GoHighLevel Bookings: Ending Manual Calendar Edits for Estimators

By Alex Regueiro · October 25, 2026 · 5 min read

Every time a customer booked an appointment, an office manager had to open the estimator's calendar and type in the job address and the description of the work. The booking arrived without them. That manual step ran on every booking.

The business is a landscaping and hardscape company with an owner, an estimator who visits the properties, and an office manager who books the appointments. If you run one of the many home service businesses that sends someone to a property, the fix below applies to your calendar too.

The situation

The company was moving its lead handling into GoHighLevel, and we reviewed the build on a call. One detail kept coming up: when a booking landed on the estimator's calendar, it did not show the full address or the description of what the customer wanted. The estimator is the person who visits the property, so those were the two fields that mattered most.

The office manager had been filling the gap by hand. After each booking, the office manager edited the estimator's calendar in the company's field-service software and added the missing detail.

What was broken

There were two separate problems on the same call.

  • Booking details were not carried across. The address and the job description were not mapped to the calendar event, so the event arrived without them.
  • Inbound texts never reached the CRM. New leads kept texting the company's main number, but that number had been ported into a different phone app. Messages sent to it never arrived in GoHighLevel, so they did not appear in the same place as everything else.

What we built

We treated the calendar as a data problem first and a scheduling problem second.

  • Field mapping: we fixed the mapping so that a booking now carries the full address and the description of the work into the calendar event.
  • Locked calendar rules: the estimator's calendar constraints were locked in, and leads are routed by the service they asked about.
  • Automatic text confirmations: an SMS goes out to the customer when a booking is made.
  • Office validation: the office manager was named as the person who confirms the fix works.
  • Phone plan: the main number is to be ported into GoHighLevel so inbound texts land in the same inbox as the rest of the lead record.

What changed

Nothing was measured on the call itself, so there is no time-saved or no-show figure. The fix was configured and handed to the office manager to validate. What changed is the path a booking takes: before, the address and description depended on someone remembering to type them in, and after, they come through with the booking itself.

An AI booking agent was also targeted for the following week, and the port of the main number was queued. Those two items were plans when the call ended.

Test your own bookings in ten minutes

This section is advice for your own account. Book a test appointment as a customer would, using a real-looking address and a one-line description of the job. Then open the calendar of the person who will go to the property and check what they see. If the address or the description is missing, trace the field from your form to the calendar event and map it.

Also send a text to your main business number from a phone that is not saved in your system. If it does not show up in your CRM inbox, find out which app holds that number.

Frequently asked questions

Why does a booking show up without the job address?

Often the address field on the form is not mapped to the calendar event, so the event arrives without it. The fix is to map the address and description fields explicitly, then test with a booking that has both filled in.

Should an office manager edit the estimator's calendar by hand?

Only as a stopgap. A manual edit on every booking is easy to forget, and it takes time from the person who books the appointments. Mapping the fields once removes the step and leaves the office manager to confirm that bookings look right.

Why would texts to a business number not reach the CRM?

If the number was ported into a different phone app, messages sent to it go to that app and never reach the CRM. Porting the number into the CRM, or routing it there, puts inbound texts in the same inbox as the lead record.

What does an automatic booking confirmation text do?

It sends the customer an SMS as soon as a booking is made, so they have the appointment details in writing without anyone in the office sending a message by hand.
