GoHighLevel as a Remodeler's Hub: One Communication Thread Per Client
By Alex Regueiro · October 25, 2026 · 5 min read
At one remodeling company, nobody could open a single screen and see everything about one client. Ad leads went to a project-board tool, messages ran through personal channels, and job costing, pipeline and cash flow sat in a spreadsheet.

This is about the co-owner and operations lead at a kitchen and bath remodeling company. If you run one of the home service businesses where the story of each job is split across tools and phones, the way we reorganized this one may map onto yours.
The situation
We walked the operations lead through GoHighLevel on a call. The question for the call was not what features the platform has. It was whether GoHighLevel could become the one place where a client's whole history lives.
The answer we validated together was yes, with a rule attached: one communication thread per client, and everything else hangs off that thread.
What was broken
Three splits were doing the damage.
- Leads: ad leads were routed only to the project-board tool, away from any follow-up system.
- Conversations: client communications were divided across personal channels, so nobody could read them together in one place.
- Money: job costing, the pipeline, cash flow and estimated values lived in a Google Sheets operations sheet, apart from the clients they described.
What we built and agreed
We treated GoHighLevel as the center and moved each of the other pieces toward it.
- Mapping: payment milestones, the current tool landscape and the pipeline stages were mapped on the call.
- Data import: the project-board exports and the operations sheet, covering pipeline, cash flow, job costing and estimated values, are to be imported into GoHighLevel custom fields, with a dashboard snapshot in about 72 hours.
- Daily tools: we went through a two-way sync with Google Calendar, test texts and emails, and the GoHighLevel mobile app.
- Payments: a payment processor connected to GoHighLevel, with both ACH and card, since clients prefer ACH for large payments.
- Ads: the Google Ads and Meta Ads accounts are to be connected, so ad leads land in the same place as everything else.
- Content: a pre-walkthrough process video is to be filmed at the office.
What changed
No business results were reported from this call. The change was structural, and some of it was still ahead.
Before, a client's lead source, messages and costs lived in separate tools. After the call, the plan put them behind one client record and one thread, with the old data moving into custom fields and the dashboard snapshot as the first test of whether the import worked.
Why ACH matters on large jobs
This section is advice for you, not a claim about the client's results. On a large remodeling project, the deposit and milestone payments are big enough that how a client pays becomes a real decision. The clients here prefer ACH for large payments, so ACH was set up alongside card instead of forcing everyone onto one.
If you take payments for big jobs, ask a few recent clients how they would rather pay, and make the option they pick the easiest one.
Frequently asked questions
What does one communication thread per client mean?
It means every text, email and call note for a client sits in one conversation record, no matter which staff member sent it. Anyone on the team can open that record and read the whole story, instead of piecing it together from personal phones and inboxes.
What can be moved from a spreadsheet into GoHighLevel custom fields?
In this case the operations sheet held pipeline, cash flow, job costing and estimated values, and the plan was to import them into custom fields. Whatever you track per client in a sheet can usually become a field, once the columns are cleaned.
Why connect ad accounts to the CRM?
Ad leads had been routed only to the project-board tool. Connecting the Google Ads and Meta Ads accounts to GoHighLevel puts those leads into the same record and thread as every other client, so follow-up and reporting start from one place.
Why set up both ACH and card payments?
Clients here prefer ACH for large payments, so ACH was set up alongside card. Offering both lets each client pick the option they trust for a large amount. Check what your own clients prefer before deciding, since the answer can differ from one business to another.
