GoHighLevel Email Sync and Call Tracking: What We Fixed When Activity Never Reached the CRM
By Alex Regueiro · October 25, 2026 · 5 min read
Emails the owner sent from his own Gmail never showed on the contact timeline in GoHighLevel, and calls to his personal cell never reached the CRM at all. The account looked quieter than the business really was, and the built-in AI could only read part of the story.

This is what we changed for a short-term-rental management and acquisitions owner during a monthly CRM review. It applies to real estate agents and investors who run their day from a personal inbox and a personal phone.
The situation
The owner was using GoHighLevel for his pipelines and outreach, and its AI features read from what is on each contact's timeline. That is where the trouble began, because the timeline held only part of his real communication.
What was broken
Two gaps, plus one loose end, were hiding activity from the system.
- Email gap: messages sent from his Gmail did not appear in GoHighLevel timelines, so the AI had an incomplete view of every conversation.
- Call gap: his personal cell number was listed in every public place, so inbound calls bypassed GoHighLevel tracking completely.
- Connection gap: the Facebook connections needed to be reconnected to the right pages.
What we built
The fixes fell into three groups: visibility, connections and a small pilot.
- DNS changes so email syncs both ways between Gmail and GoHighLevel and his replies land on the contact timeline.
- Public listings that carried his personal cell were re-pointed to the GoHighLevel phone number, so inbound calls land in the system.
- Scheduled tasks using the Ask AI feature in GoHighLevel, which only becomes useful once timelines are complete.
- Facebook tokens reconnected to the correct pages.
- A pilot prospect list of 10 to 20 property owners, drawn from criteria we agreed on the call, so outreach could be tried on a small group first.
- A plan for a webinar nurture on Meta ads, aimed at high-net-worth people researching the tax side of short-term rentals.
What changed
The call did not report a measured result, because these were configuration fixes with the effects still ahead. The system, though, now works differently. His replies from Gmail belong to the same record as the messages sent from GoHighLevel. Inbound calls reach a number the CRM can see. The scheduled AI tasks have a full timeline to read.
The pilot list and the webinar plan point at what comes next: test outreach on a few property owners before widening it, and give the Meta nurture a clear topic.
Check where your calls and emails really go
This section is advice. Send an email from your regular inbox to a test contact and see whether it appears on that contact's timeline. Then list every place your phone number is published, such as your website, your profiles and your business listings, and call each number to see where it rings. If the activity does not reach your CRM, your reports and your AI are working from a partial record.
Frequently asked questions
Why do emails sent from Gmail not show up in GoHighLevel?
Messages sent outside the CRM only appear if the mailbox is synced to it. In this account the fix involved DNS changes for two-way email sync, so replies sent from Gmail land on the same contact timeline as messages sent from GoHighLevel.
Why does call and email tracking matter for AI features?
AI tools in a CRM read the conversation history on each contact. If half of the conversation happens in a personal inbox or on a personal phone, the AI answers from an incomplete record. Complete timelines come first, and the AI tasks come second.
Should I replace my personal number on public listings?
If you want inbound calls tracked, yes. Point every public listing at a number the CRM controls. The owner in this story had his personal cell listed everywhere, which meant calls reached his phone and never reached the system.
What is a pilot prospect list?
It is a small group, here 10 to 20 property owners, chosen by criteria you agree on first. You run the outreach on them, see what the replies look like, and fix the message before you spend effort on a larger list.
