GoHighLevel Onboarding for New Loan Officers: Per-Rep Pipelines, Numbers and Call Recording
By Alex Regueiro · October 25, 2026 · 5 min read
A new loan officer can lose the first week of leads without anyone noticing, simply because the logins, phone number and alerts were never finished. Three new loan specialists joined an investor-lending team and needed exactly those things, plus one more that is easy to forget: calls that are recorded from day one.

The team originates DSCR loans, meaning loans for investors that are underwritten on the property's rental income, and it runs Meta ads into GoHighLevel. For mortgage loan officers adding people to a team, the setup order below is the part worth copying.
The situation
The call was a GoHighLevel training session over Zoom with the team's manager and the three new specialists. A pipeline already existed, but it still held template leads. The new reps needed CRM access, phone numbers and notifications before they could work anything real.
There was also a downstream requirement. The team wants an AI scoreboard and a coaching system built on the reps' calls, and both depend on call recording being switched on for every number. If recording is missing from a number, that rep's calls cannot be scored.
What was missing
Four gaps had to close before leads could flow.
- Access: each rep needed a working CRM login on desktop and on their phone.
- Numbers: each rep needed a phone number with call forwarding.
- Alerts: notifications had to be on, because speed-to-contact depends on the rep seeing a new lead immediately.
- Recording: every number needed call recording verified, not assumed.
What we built
We handled most of it live, while everyone was on the same call.
- Pipeline walkthroughs for all three reps, so each one saw the stages they would work in.
- Phone numbers provisioned during the call, with call forwarding set up for each new rep.
- The mobile app and notifications set up for speed-to-contact, with each rep asked to confirm their login.
- A separate pipeline for each rep to receive incoming Meta leads, with the template leads to be cleared.
- Meta ad creatives being refreshed that week, with the team to be notified when campaigns go live so leads start landing in the new per-rep pipelines.
- DSCR training documents to be shared before reps started receiving live leads, plus a recurring Monday DSCR meeting to be put on the calendar.
- A request for Claude logins so we could start the call scoring system.
What changed
No result is stated. The change is in readiness. Before the call, the team had a pipeline holding template leads and three reps who still needed CRM access, numbers and notifications. By the end, each rep had been walked through a pipeline and had a number provisioned, and each had a task to confirm the app and alerts.
Two items were still open when the call ended. Call forwarding and recording had to be verified on every number before the setup counted as complete, and the call scoring system could not start until the logins arrived.
A new-rep checklist you can reuse
This section is advice, not a description of the client. Before a new loan officer gets a live lead, check each of these off with the rep watching: they can log in on desktop and phone, a test call to their number reaches their phone, a test call is recorded and plays back, a test lead produces a notification within seconds, and their pipeline shows only their own leads.
If you record calls, review the disclosure rules for the states you call into and make sure your greeting or consent step matches. Recording is what makes coaching possible, so it is worth getting right on day one.
Frequently asked questions
Why give each loan officer a separate pipeline for Meta leads?
Each rep gets a pipeline that receives incoming Meta leads. The point is that every officer works from their own list and the team can see who is handling what. The template leads were slated to be cleared so reps would see only real activity.
Why does call recording matter before the first live lead?
Recording was required for the AI scoreboard and coaching system. A call that was not recorded cannot be scored later, so the team verified recording on every number instead of assuming it was on.
Why install the mobile app and turn on notifications during training?
Notifications are what make speed-to-contact possible. A rep who only checks a desktop login will see leads late. Asking every rep to confirm app access and alerts on the call was meant to make sure nobody left without a working way to be alerted.
What happens before the team starts receiving live leads?
Training documents on DSCR loans were to be shared first, and a recurring Monday DSCR meeting was to go on the calendar. The idea was that reps should know the product and have a regular place to ask questions before real leads arrive.
