GoHighLevel Phone System Not Ringing: Fixing Callback Loops and Missed Notifications
By Alex Regueiro · October 25, 2026 · 5 min read
A real estate broker had a new business number and would not give it to anyone. Calls were not ringing, alerts never arrived, and when he phoned out from the system, contacts received follow-up messages he never meant to send.

He owns a brokerage, and the phone is where his business starts. This is how we stabilized a GoHighLevel phone setup for him, and the same problems show up for many real estate agents and teams who move their calls into a CRM. Here is what was wrong and what we changed.
The situation
The broker had moved his business calls onto a new number inside GoHighLevel. Then he stopped handing it out. His reasons were practical. Calls were not ringing, and he was not getting notifications when something came in. A callback loop was running in the call flow, and voicemails were being cut short.
The fifth problem was that his own outbound calls set off follow-up blasts to contacts that he had not chosen to send. When an owner stops trusting a business number, the risk is a return to a personal cell phone, and the CRM stops seeing the calls.
What was broken
Five separate faults stacked up on the same number.
- Calls were not ringing through to the broker.
- Notifications for new activity were missing.
- A callback loop ran inside the call flow.
- Voicemails were truncated, so messages arrived cut off.
- Outbound calls from the broker triggered unwanted follow-up blasts to contacts.
What we built
Here is what we changed on the account.
- Phone system: we fixed the callback loop and the voicemail truncation.
- Automations: we disabled the overactive ones and rebuilt the notification workflows.
- IVR routing with a whisper message: callers are routed through a menu, and a short recording announces the caller's name to the broker before he picks up.
- Referral leads: a workflow that records where each referral came from and sends a clean introduction.
- Website inquiries: an inbound form workflow with a qualifying question, so reporters and non-buyers can be told apart from real buyers.
- Agent referrals: a nurture campaign aimed at other agents, with a descending cadence, meaning contact is frequent at first and then spaced further apart.
- Property search: an IDX integration for the site's home search page.
- Forms: colors and confirmation copy corrected.
What changed
A measured result is still to come. What changed is how the line behaves. The number now has a stabilized call path, rebuilt alerts, and routing that tells the broker who is calling before he answers. The overactive automations are switched off and the notification workflows were rebuilt. Referral leads and website leads each have their own workflow, and the referral side carries attribution.
The broker's own estimate was that follow-up aimed at other agents would solve 95% of his issues. That is his guess, not a measurement, and we treat it that way until the data exists.
Test your own phone setup in an afternoon
This section is advice for your own account, not a fact about the client. Five checks catch most of what went wrong here.
- Call your business number from a phone the system has never seen and confirm it rings where you expect.
- Leave a long voicemail and play the whole thing back.
- Place an outbound call to a test contact and watch whether any automation fires.
- Confirm that every inbound call and every form fill creates an alert for a real person.
- Read your form's confirmation message as a customer would.
Frequently asked questions
Why would a GoHighLevel number stop ringing?
There was no single cause here. A callback loop, truncated voicemails and missing notifications were separate faults that needed separate fixes. If your number is unreliable, test ringing, voicemail and alerts as three separate checks instead of one.
What is a whisper message on an IVR call?
A whisper message is a short recording that only the person answering hears, played before the call connects. In this setup it announced the caller's name, so the broker knew who was on the line before he said hello.
Why did outbound calls trigger follow-up messages?
Automations on the account were firing when the broker called out. We disabled the overactive ones and rebuilt the notification workflows. Review the trigger on every automation and ask whether a manual call by a person should ever start it.
How do you keep reporters and non-buyers out of a real estate lead form?
Add a qualifying question to the inbound form and route the answers through a workflow. We did this on the broker's website form so people who were not buyers could be told apart from people who were, before anyone spent time on them.
