Google Sheets to GoHighLevel Pipeline: How a Mortgage Team Moved Its Lead List
By Alex Regueiro · October 25, 2026 · 5 min read
A lead list that lives in a spreadsheet only gets worked when somebody opens the spreadsheet. That was the state of one mortgage team's lead data and referral relationships before we moved both into GoHighLevel.

The people involved were a loan officer who owned the lead list and a coordinator who managed referral relationships. It is a setup that mortgage loan officers often outgrow: it functions, but it depends on manual steps. Here is how we moved the data and how we kept the team using it.
The situation
Lead data lived in Google Sheets. Referral relationships were tracked in a separate set of Google Sheets and Google Forms. The coordinator was building extensive automation on top of them, using sheet extensions and manual email sends.
We ran a live GoHighLevel walk-through with both of them. The session was about getting the existing lead data into a proper pipeline.
What was broken
Two problems stood out. First, leads and referral partners sat in different files with no shared stages, so nobody could look in one place and see who needed a call.
Second, the automations were sheet extensions and manual email sends layered on a spreadsheet. Both problems mean a lead can wait without anyone seeing it wait.
What we built
Here is what the call produced.
- Data cleanup. The loan officer sent us the raw Sheets data, and we cleaned and reformatted it into a single CSV ready for bulk import.
- Bulk import into a GoHighLevel pipeline with color-coded stages, so the status of every contact is visible at a glance.
- Live stage assignment. We demonstrated assigning contacts to the right stage on several records during the call, and the loan officer completed a first assignment on the same call.
- Manual before automatic. The loan officer practiced creating contacts and tasks by hand before any automation was added.
- A separate manual referral pipeline for the coordinator, with a suggested stage structure to follow after the call.
- Intake queued to move. The forms, landing pages and QR codes the coordinator ran in Google tools were scheduled to move into GoHighLevel, which can handle form intake and automatic emails.
What changed
There was no number to report from this session. What changed was the working surface. Lead data moved out of a spreadsheet and into a pipeline with visible stages, and the loan officer completed a first contact assignment during the call.
The referral work was set up to get its own pipeline in place of a form-and-sheet combination. The next steps were assignments inside the same week: finish stage assignment for every imported contact, practice creating contacts and tasks, and build out the referral pipeline.
How to move a spreadsheet without losing the thread
This is advice for your own migration, not a description of the client. Decide your stage names before you import, and keep the CSV to the columns you will use. Import a small batch first and check it.
Then have the person who owns the leads assign stages by hand for the first records. Add automation only after the manual version feels normal to the team.
Frequently asked questions
How do I move a Google Sheets lead list into GoHighLevel?
Clean the sheet into one CSV with consistent column names, then bulk import it into a pipeline. Decide your stages before the import so each contact lands somewhere meaningful. We cleaned the raw data first, then imported it into a pipeline with color-coded stages.
Why have the loan officer assign stages by hand?
Doing it live builds familiarity before automation. The loan officer assigned contacts during the call, so the team's first experience of the pipeline was an action they had done themselves instead of a finished system they were asked to trust.
Should referral partners have their own pipeline?
Usually yes, because a referral relationship moves through different steps than a borrower does. Here the coordinator got a separate manual pipeline first, and automation was left for later.
Can GoHighLevel replace Google Forms and QR code sheets?
For intake, in many cases yes. GoHighLevel can host forms and landing pages and send automatic emails when someone submits. That was the direction for this team: forms, landing pages and QR codes moved into the CRM so submissions create records on their own.
