Instant Lead Alerts for Loan Officers: Meta Instant Forms to Google Sheets with Zapier

By Alex Regueiro · October 25, 2026 · 5 min read

When Meta lead notifications land in scattered places, a new submission can sit unseen while the person who filled it in waits for a call that does not come. This loan officer''s setup had that exposure, and his instant form made it worse by sending people to a website instead of connecting them to him.

Here is how we fixed the intake and the form''s last step. If you are one of the mortgage loan officers running Facebook or Instagram lead ads, the same pieces use ordinary tools and are easy to copy.

The situation

The loan officer was running Meta lead ads, including a free homebuyer webinar ad. That ad was doing its job: it produced solid lead volume. The problem sat after the form.

Lead intake was scattered, so there was no single place to look for new submissions. And when a person finished the instant form, the button took them to a website. Someone who has just raised their hand was being sent to read a page, not to talk to a loan officer.

What was leaking

Two leaks, and each made the other worse. With no central list and no alert, a new submission could go unnoticed. With a View Website button on the form, even the leads that were noticed were sent away from the phone.

The webinar ad had a third gap. It collected hand-raisers, but there was no live event yet to turn them into conversations.

What we built

  • A new Google Sheets file as the one intake place for Meta leads, connected through Zapier so every new submission triggers an email alert.
  • A change to the instant form''s completion button, from View Website to Call Now, with the loan officer''s number behind it.
  • An off-hours auto-reply, so a lead who submits when nobody is at the phone still gets an answer.
  • The changes from the ad audit, implemented in the account.
  • A plan to record four VA educational videos and send them to leads as soon as they finish the instant form, in place of a generic website.
  • A live Tuesday homebuyer webinar, to be scheduled, as the event that converts people who raised their hand on the free webinar ad.

What changed

The one result stated on the call was the webinar ad''s lead volume, which was solid. No figure was given, so we do not quote one.

The system now works differently in three ways. Every submission lands in one sheet and sends an email, so a missed lead is something that has to be ignored on purpose. The form ends with a phone call option instead of a web page. And the VA leads are planned to receive short educational videos when they finish the form, in place of a generic website.

Test your own alert path today

This section is advice for your own account. Submit a test lead through your own instant form, then time how long it takes for you to see it. Check that it appears in one list and that you got an email, not just a notification you might never open.

Then look at the last screen of the form. If it sends people to a website and you want them on the phone, change the button and put your number behind it.

Frequently asked questions

How can I get an email every time a Meta instant form is submitted?

Connect the form to a Zapier workflow that adds each submission to a Google Sheets file and sends an email. That is how we set it up here, so every new lead created a row and an alert in one step.

Why change an instant form button from View Website to Call Now?

A loan officer wants the conversation, not a page view. A Call Now button puts the loan officer''s number one tap away, where a website link sends the person elsewhere. In this case the instant form sent people to a website instead of getting them on the phone.

What should happen to leads who submit after hours?

They should still hear back, so they know the form worked. We added an off-hours auto-reply for this loan officer, and the email alert tells him a new lead is waiting.

Why send VA videos after the form instead of a website?

A short educational video gives a new lead something useful right after they raise their hand, which a generic website does not. Here, four VA educational videos were planned to go to leads once they complete the instant form.
