ISA Lead Follow-Up Workflow in GoHighLevel: Reviving 97 Stale Leads for a New Rep

By Alex Regueiro · October 25, 2026 · 5 min read

Ninety-seven people asked about listings over the past month and then heard nothing from a human. By the time a new phone follow-up rep joined the team, those leads had gone stale, and the rep had not yet used the app.

The client is a real estate agent and team lead in the Midwest. We aligned the whole GoHighLevel lead intake and follow-up workflow around the new rep, the role many teams call an ISA, short for inside sales agent or assistant. If you are one of the real estate agents and teams hiring a first dedicated follow-up person, this is the setup we used.

The situation

The team had listing leads coming in. Ninety-seven of them sat in the new lead stage with no human follow-up, all of them people who had shown interest in listings during the past month. Interest like that fades quickly.

A new phone follow-up rep was about to take over the work, but had not yet used the app. The risk was that a new hire would start in a pile of stale leads with a system they had not yet used.

What was broken

Three gaps stood between the rep and a working day. The pipeline did not yet have the stages the rep would need. The automated emails did not yet come from a sender identity that fit the new role. And the scheduling flow had to settle what a lead does first: book a tour, or talk to a person.

Without those pieces, a new rep would have had to work them out while also trying to clear a backlog.

What we built

We set up the intake and follow-up workflow before the rep started working the list.

  • Pipeline stage additions in GoHighLevel, so the rep can see where each lead sits.
  • An update to the auto-email sender identity, including a dedicated company email set up for the role.
  • A scheduling flow where leads book a call with the rep first, before any tours.
  • A triage of the 97 stale contacts by pipeline stage, so the rep works from a defined order.
  • Listing ads turned back on for two listings over the weekend.
  • A review of the messaging and title wording for brokerage compliance.
  • The GoHighLevel mobile app split by business.
  • A Monday review of the weekend's leads.

What changed

No outcome was reported at the end of the call. We have no reply rates or booked calls to share, and we are not going to suggest any.

What changed is the workflow. A lead now has a defined path: it enters a pipeline stage, gets an email from the right sender, and is offered a call with the rep before any tour. The 97 stale leads had a triage order. The rep's app was split by business and a review was waiting on Monday.

Before your first ISA starts

This section is advice for your own team, not a fact about this client.

  • Map the stages before the hire arrives, not after.
  • Decide who an automated email appears to come from, and set that up in advance.
  • Choose what a new lead does first. A call before a tour puts a person in touch with every lead.
  • Triage the backlog by stage so the first day has a plan.
  • Have messaging reviewed for the rules that apply to your brokerage.

Frequently asked questions

What is an ISA in real estate?

ISA stands for inside sales agent or assistant, a person who works inbound leads by phone and sets appointments for an agent or team. In this case the role was a new phone follow-up rep who books calls before any tours.

Why have leads book a call with the rep before a tour?

A call first puts a person in touch with every lead before anyone drives to a property. In this workflow, the scheduling flow sends leads to the rep for a call, and tours come after that conversation.

How do you triage a pile of stale leads?

We triaged the 97 stale contacts by pipeline stage, so the rep had a defined order of work instead of one undifferentiated list. Leads from the weekend's listing ads were reviewed the following Monday.

Does wording in automated messages need a compliance check?

For a brokerage, it is worth doing. Here the messaging and title wording were reviewed for brokerage compliance. Check the rules that apply to your brokerage and market before you automate any message.

If your listing leads go quiet between inquiry and first call, book a 30-minute AI follow-up and reporting audit. We map your intake and follow-up path and show you where a new rep would get stuck.
