Landscaping Lead Funnel in GoHighLevel: From Free Quote Button to Booked Walkthrough
By Alex Regueiro · October 25, 2026 · 5 min read
Two leaders at a landscaping and hardscape company had lost control of their calendars, so their booking page could not show times that were really free. Before they connected it to a lead funnel, they also needed to understand how a lead reaches them in the first place.

We walked them through the whole path in GoHighLevel, from the free quote button on the website to a booked walkthrough, and set the calendar rule that keeps the booking page honest. It is written for home service businesses that sell estimates and have owners working in the field.
The situation
The people on the call were an estimator and sales lead, who is also a co-owner, and the other leader on the team. Field work and selling share the same calendar, and that mix is how calendars get away from people: a quote at mid-morning, a job check-in that runs long, a booking page that still offers a slot in the middle of it.
The company already used a field-service tool, and the new system had to match what that tool did before anyone retired it.
What was broken
Two things were wrong at once.
- Calendars out of control. Because both leaders' calendars no longer reflected reality, a booking page connected to them could not show true availability.
- No clear picture of the path. The leaders needed to understand how a click on the website becomes a lead record, an email and an appointment.
What we walked through and set up
We traced the funnel one step at a time, in the order a customer meets it:
- A click on the free quote button creates a new-lead record in GoHighLevel.
- The record gets a service-interest tag. The website sends five of them, patios and hardscapes among them, and an owner is assigned automatically.
- An automatic email follows. The team planned to add a personal intro video of about three minutes, and expects to record two or three of them.
- The booking page invites the customer to pick a time for a free walkthrough and syncs to real Google Calendar availability.
- A confirmation page restates what to expect and asks for one thing only.
- Contact tasks and notes hold the promises made to each customer, including the AI chat threads used while setting appointments.
The calendar rule that makes the page truthful
The booking page can only be as honest as the calendar behind it, so we set a blocking recipe. Job check-ins sit from 7 to 10. Quotes and pipeline work sit from 10 to 12. Evenings are protected. Anything blocked on the calendar disappears from the booking page, so customers can only pick time the owners are willing to give.
The company's earlier field-service tool stays in place until every function it performs has been matched in the new system. Nothing gets switched off on faith.
What changed
There was no outcome to report at the end of the call, because the calendar sync was still processing. What had changed was the structure. The walkthrough gave every step between the quote button and the booked visit a name, and the booking page was pointed at a calendar with rules, not at a calendar that reflected whatever had happened that week.
Check your own booking page
Open your public booking page in a private window and look at tomorrow. If it offers time you would never actually give a customer, your calendar is the problem, not the page. Block your recurring work first, then let the page read what is left.
Frequently asked questions
How does a free quote button turn into a booked walkthrough in GoHighLevel?
A click creates a new-lead record with a service-interest tag and an assigned owner. An automatic email follows, and the booking page lets the customer pick a time that syncs to real Google Calendar availability.
Why block calendar time for job check-ins and quotes?
The booking page reads the calendar. If job check-ins, quotes and evenings are blocked, customers cannot book into them. Here, check-ins sat from 7 to 10 and quotes and pipeline sat from 10 to 12 with evenings protected.
Should we shut off our field-service software right away?
No. In this case the earlier tool stays until every function it performs is matched. Move one function at a time, confirm it works, and only then retire the old one.
What goes on the confirmation page?
Restate what the customer should expect from the walkthrough and give one call to action. Fewer choices on that page keeps the next step clear.
