Lead Source Tracking in One GoHighLevel Pipeline: Labeling Where Each Lead Came From

By Alex Regueiro · October 25, 2026 · 5 min read

When every lead lands in the same pipeline, the pipeline cannot tell you which ads are working. That was the problem at a landscaping company that had just unified its leads in GoHighLevel: the leads were all there, and the source of each one was not visible.

The work was with the company's operations lead. If you run one of the many home service businesses that is merging several lead channels into one view, this is the small renaming and labeling job that makes the view useful.

The situation

The company had moved to a unified pipeline. The side effect was that leads from different sources now sat together, and the pipeline could not distinguish where each one began. A report of lead volume would add them up without being able to split them.

Two other items were open. The phone number port request was in with the old provider, waiting on an account identifier from the new carrier. And Meta ad targeting was not focused on the company's higher-value cities.

What was broken

Three things needed attention.

  • Lead sources looked the same in the pipeline, so the origins of leads could not be compared.
  • Meta targeting was not focused on the cities the company values most.
  • The phone number port was stalled on one missing account identifier.

What we built

We started with the labels, since they are cheap to change and everything downstream reads them.

  • Source labels: the form that handled quote requests from the website was renamed so its name says it came from the website, and the labels across forms were standardized. Now the pipeline can tell the origin of each lead from the name alone.
  • Phone routing: the IVR and call-routing workflow was finalized in GoHighLevel. It is built and sitting in draft for QA.
  • Facebook workflow: a lead workflow for Facebook is still to be built.
  • Geo-targeting: Meta targeting was refocused on the company's high-value cities.
  • Creatives: three image creatives were prepared for approval.
  • Port plan: the port was coordinated for an evening window, once the account identifier arrives.
  • Content: video scripts were recorded with the office manager, and the b-roll and editing templates are ready.

What changed

Lead quality and cost were not part of this progress review, and several pieces were still in draft or waiting on approval. What changed is that a lead entering through the website form can now be identified as a website lead without anyone opening the record.

Facebook leads are next, because that workflow still has to be built. The phone workflow was still in QA and the number had not been ported.

Name your forms for their source

This section is advice for your own account. Open your CRM and list every form and ask where its leads come from. If two forms would produce a lead that looks identical in your pipeline, rename one so the source is in the name. Use the same pattern everywhere, such as the channel first and the service second.

Then check your ad targeting against your own customer list. If most of your best jobs come from a handful of cities, your targeting should lean on those cities.

Frequently asked questions

How do I tell where a lead came from in a unified pipeline?

Put the source in the name of the form and standardize the labels across forms. Here a quote form was renamed so its name says it came from the website, which lets the pipeline separate website leads from leads that arrive through other channels.

Should all lead sources share one pipeline?

One pipeline is easier to work, as long as every lead carries a visible source. Without a source label, a single pipeline hides which channel is producing leads and which one is not.

What can hold up a phone number port?

A port can stall on a missing piece of account information. In this case the request was open with the old provider and waiting on an account identifier from the new carrier, so the port was coordinated for an evening window once it arrived.

Why focus Meta targeting on certain cities?

Ads reach more of the right people when targeting follows your best jobs. The company refocused its Meta targeting on its high-value cities so the ads reach the places it most wants to work.
