Loan Officer Contact Database Cleanup: Keep, Delete, Merge and Label by Role

By Alex Regueiro · October 25, 2026 · 4 min read

A contact list built over 15 years is hard to use when nobody can tell who is in it. One loan officer's database had no labels and a run of duplicates, so none of it could be used for targeted outreach, and a queue of ready content sat unposted at the same time.

The loan officer is a mortgage team owner with a long-tenured network of realtors, investors and builders. This is how we cleaned and segmented the list in one working session, and what was blocking the content. It is written for mortgage loan officers whose best leads are people they already know.

The situation

The call had two jobs. The first was the contact database, a 15-year accumulation with no labels and duplicate records. The second was content: a large queue of posts and videos was finished and ready, but the social accounts were not connected to GoHighLevel, so nothing could publish.

What was broken

An unlabeled list has one use, which is scrolling it. You cannot reach the realtors who send you business without also reaching everyone else, because nothing marks who is who. Duplicates add noise and make it harder to know whether you have already reached someone.

The content problem was a missing connection. The work had been produced, but a publishing path from the CRM to the platforms did not exist yet.

What we did

We ran a full cleanup and segmentation session together, working through the list live.

  • Keep, delete or merge decisions on hundreds of contacts, so duplicates and dead records stop crowding the list.
  • Role-based labels on the contacts that stayed: high-producing realtors, investors, builders and connectors.
  • Priority contacts flagged for reactivation, so the first outreach goes to the people most worth reaching.
  • A content-topic prompt prepared for the owner, so scripts could be written ahead of the next shoot.
  • A next step to connect Facebook and Instagram to the social planner in GoHighLevel, since publishing was blocked until it was done.

What changed

No result was stated, so there are no reply or referral numbers to share. The change is in what the database can do. It went from one undifferentiated list to a set of labeled groups, and the people worth re-engaging were already marked.

The content queue was still waiting on the account connection when the call ended. Until Facebook and Instagram are connected, the posts do not go out.

Clean your own list in three passes

This section is advice for your own database. Pass one: decide what to keep, delete or merge, and apply it to the obvious duplicates first. Pass two: add a label for each role that matters to your business, so a filter pulls up every investor or every builder.

Pass three: flag the few people you most want to hear from this month and reach out to them first. A short, labeled list that you use beats a long one you avoid.

Frequently asked questions

How do I clean up a large contact database in GoHighLevel?

Work in passes. First decide keep, delete or merge for each contact, starting with duplicates. Then add role-based labels to what remains. This team triaged hundreds of contacts in one session and used labels such as realtors, investors, builders and connectors.

What labels should a loan officer use for referral contacts?

Use roles that tell you why a person matters. Here the labels were high-producing realtors, investors, builders and connectors. Pick labels that map to how you would reach out, because each one should lead to a different message.

Why was finished content not publishing?

The social accounts were not connected to the social planner in GoHighLevel. Until Facebook and Instagram are linked, a queue of ready posts has no path out, however much content has been produced.

Should I reactivate old contacts before the list is fully cleaned?

Yes, for the priority ones. On this call we flagged high-value contacts during the cleanup so they could be reactivated without waiting for the whole database to be finished. Start with the people most likely to respond.
