Match a Facebook Instant Form to Your Website Form: Why Field Names Decide CRM Mapping

By Alex Regueiro · October 25, 2026 · 5 min read

A landscaping company's inbound call workflow was fully built and confirmed in GoHighLevel, and it still could not go live. One item stood in the way: the business phone number had not been ported into GoHighLevel. A second detail threatened the Facebook campaign: if the lead form does not match the website form, the lead fields do not map into the CRM.

The client is a landscaping and outdoor services company. If you run one of the home service businesses that gets leads by phone and by Facebook form, here is what we built and what was left.

The situation

The company needed two lead paths working in GoHighLevel: calls coming in to the business number, and leads coming from a Facebook Lead Ads campaign. We confirmed the call workflow routing on a working session and built the instant form in Ads Manager during the same session.

The call workflow was complete. The campaign form was in progress. Each one had a single dependency we could name.

What was holding it up

For calls, the dependency was the phone number. The entire workflow was built and confirmed, but it could not go live until the number was ported into GoHighLevel and added to the workflow. That was the single remaining blocker.

For the form, the dependency was matching. An instant form can ask for anything, but a CRM only receives the answers it has a place for. If the Facebook form and the website form ask for different things, or name them differently, lead details end up missing or in the wrong field.

What we built

The work on this session split into the finished piece and the in-progress piece.

  • The GoHighLevel call workflow routing was confirmed and the whole workflow was built.
  • The Facebook Lead Ads instant form was built in Ads Manager with fields that match the company website form exactly.
  • Each Facebook form field is then to be mapped to its corresponding field in the GoHighLevel CRM.
  • The business phone number is to be ported into GoHighLevel and added to the call workflow, which is the last step before the call routing goes live.

What changed

The session ended before any call or lead came through the new setup, because the form still needed to be finalized and the call workflow was waiting on the number.

What changed is that every remaining step is now a named task. The call workflow went from unfinished to complete except for one blocker. The Facebook campaign went from a blank form to a form built to the website's field list, with a mapping step defined for every field.

Match your forms before you launch

This section is advice for your own build, not a record of what the client did next.

Open your website form and your instant form side by side. Every question on one should exist on the other, with the same wording and the same type of answer. Map each field to a CRM field before the campaign goes live, then submit a test lead from the Facebook form and check that every answer lands where you expect. For calls, start the number port early and check the status before the day you plan to go live.

Frequently asked questions

Why should a Facebook instant form match the website form?

Each form answer needs a matching field in the CRM. If the instant form differs from the website form, the lead fields do not map into the CRM, which is why we built the Facebook form with fields matching the website exactly.

What was the last blocker for the call workflow?

The business phone number had to be ported into GoHighLevel and added to the workflow. The rest of the call routing was already built and confirmed, so porting the number was the single remaining step before it could go live.

How do you map Facebook form fields to GoHighLevel?

Match each question on the form to a field on the GoHighLevel contact or opportunity, then submit a test lead and check where every answer lands. Doing that before launch is easier than fixing missing details afterward.

Is the campaign live and producing leads?

Not yet. The form was still being finalized and the call workflow was waiting on the number port. No lead or call results were reported.

If you are about to launch a Facebook campaign or move a phone number into your CRM, book a 30-minute AI follow-up and reporting audit. We check your forms, your field mapping and your call routing before spend or calls depend on them.
