Merging Redundant GoHighLevel Pipelines: An Ask AI Audit for a Mortgage Branch
By Alex Regueiro · October 25, 2026 · 5 min read
Three pipelines that overlap are worse than one, because nobody can say which one tells the truth. A mortgage branch had exactly that in GoHighLevel: redundant pipelines, records with very few fields, and loan stages that moved somewhere else and never showed up in the CRM.

The client is a mortgage branch leader who originates loans and coaches a team. On a working session we used GoHighLevel's Ask AI to begin auditing the account and agreed on what to merge, what to delete and what to sync. If you run a team of mortgage loan officers on a CRM that grew by accident, the same audit applies.
The situation
The mid-to-late stages of a loan are worked in the loan origination system, not in GoHighLevel. Over time the CRM had collected several pipelines that overlapped with what the loan system already tracked, plus a second pipeline nobody needed.
What was broken
The audit and the walkthrough surfaced a list of problems, and they were connected.
- Redundant pipelines overlapped with the loan system, and one extra pipeline had no job.
- Each record carried very few fields, so there was little to segment or report on.
- Mid-to-late loan activity happened in the loan origination system and was not reflected in GoHighLevel, so stages stopped moving.
- Web registrations from a business networking group only sent the branch leader an email. Nothing was captured in the CRM, so someone had to enter each person by hand.
- Landing pages had been built on a hosting service but were not connected to their domains, which blocked them from outreach.
- The KPI dashboard was static.
What we built
We used Ask AI inside GoHighLevel to begin auditing the pipelines, and a full 10-question audit was set to follow, which we expected to surface three to four months of gaps in the current build. That figure was an estimate on the call, not a measured result.
From there we agreed on the fixes, and the order matters:
- Merge pipelines 1, 2 and 3 in that order, and delete the redundant one. The contacts in it belong in the core mortgage pipeline.
- After the merge, add the missing per-record fields and clean the consolidated records.
- Define sync rules so actions taken in the loan system for stages 5 through 9 move the matching stage in GoHighLevel.
- Connect each landing page to its domain.
- Replace the email-only notification with a GoHighLevel form for the networking group, so each registration lands in the CRM.
- Convert the static KPI dashboard into a live scoreboard, so one-on-ones start from numbers that update on their own.
- Test a universal connector tool, and upload all contacts.
What changed
No result was reported yet. The audit had been started, the merge order was decided, and the rest was assigned with due dates. What is different is the shape of the plan: one consolidated pipeline instead of overlapping ones, a defined rule for how the loan system updates the CRM, and a capture form where an email used to be the only record.
The field work comes after the merge. Once the pipelines are combined, the missing fields on each record are easier to see, and you add them once.
What to take from this
Ask your CRM's built-in assistant to audit your pipelines before you add anything new. List every pipeline, who uses it, and what it duplicates. Then check every form and registration page: if a submission only produces an email, it is not in your CRM, and it will be entered late or not at all.
Frequently asked questions
What is a GoHighLevel Ask AI pipeline audit?
It is a set of questions put to the built-in assistant about how your pipelines, stages and records are set up. Here a 10-question audit was set to find overlaps and gaps, and the call decided which pipelines to merge and which fields were missing.
In what order should redundant pipelines be merged?
We set the order up front as pipeline 1, then 2, then 3, deleted the redundant pipeline, and left the field cleanup until after the merge. Picking the order before you start means you can check the result after each step.
How do loan stages in a loan system get into the CRM?
You write sync rules that say which action in the loan system moves which stage in the CRM. For this branch the rules covered stages 5 through 9, because those stages are worked in the loan system and have to be mirrored back.
What should replace an email-only registration notification?
A CRM form. Each registration then creates or updates a contact automatically, which removes manual entry and gives you a record to follow up with.
If your CRM has grown pipeline by pipeline and nobody trusts the numbers, book a 30-minute AI follow-up and reporting audit. We walk through your pipelines and flag what to merge, delete and sync first.
