Real Estate CRM Go-Live Checklist: Phone, Email DNS, Forms and the Property Search Link

By Alex Regueiro · October 25, 2026 · 5 min read

A real estate CRM that goes live with website forms that trigger nothing is an expensive contact list. That was the finding in a pre-go-live walkthrough with a broker-owner who runs a team: the existing website forms did not start any automation, and one missing link showed up in nearly every workflow we planned.

The missing piece was the link to the property search (IDX) on the broker's site, the single element that almost every automation needed to reference. Here is the checklist we walked through, for real estate agents and teams who are about to switch a CRM on.

The situation

The broker-owner runs a real estate team and was preparing to launch a GoHighLevel CRM. On the call we went through the full setup: phone number selection, email DNS configuration, automation workflows, and what the website forms would need to do.

The call was a walkthrough, and its job was to find what would fail on launch day while there was still time to fix it.

What was broken

Four things stood between the setup and a working launch.

  • Forms that do nothing. The current website forms did not trigger any CRM automation. A visitor could fill one in and no follow-up would start.
  • A missing link. The property search link was the most commonly missing element across every planned automation. Without it, those automations had nothing to point people to.
  • A number that was not ready. The new business phone number was pending verification, which we estimated at about five days.
  • Email setup still open. The DNS settings for sending email still had to be configured.

What we built

We worked through the list item by item.

  • The business phone number was chosen and sent for verification, and the broker was asked to record a voicemail greeting for the new line while it cleared.
  • Email DNS configuration was walked through, with the exact steps sent in a recap email afterward.
  • The automation workflows were reviewed against what each one needed, which is how the missing property search link was spotted.
  • The existing website forms are being replaced with CRM forms through the broker's web developer, so a submission starts the automations.
  • The property search link goes to us so it can be wired into every campaign.
  • Three to five personalized video messages go into the follow-up sequences. Our view is that a personal video in a text follow-up raises response. That is a general expectation, not a measurement from this account.
  • A verification meeting is set before go-live, so the whole system is tested before real leads arrive.

What changed

Go-live had not happened when the call ended, so there is no result to report.

What changed is that the launch now has a punch list with owners. Each gap that would have shown up as a silent failure, such as a form that does nothing or a text with no link, was named in advance and assigned. The recap email put the DNS steps and the next actions in writing.

Run the same check on your own launch

This is advice for your own setup. Start the slowest items first: the phone number and the email DNS. While they clear, submit a test entry on every website form and watch for a follow-up. Then list every automation and write down the links, numbers and assets each one needs. The item that appears most often is the one most likely to be missing.

Frequently asked questions

What should be ready before a real estate CRM goes live?

A verified business phone number, email DNS settings, tested automation workflows, website forms that feed the CRM, and every link the automations use, including your property search link. Then run a verification meeting before real leads arrive.

Why replace website forms with CRM forms?

The forms on this broker's site triggered no automation at all. CRM forms drop the submission into the system and start the follow-up, which is the reason the web developer was brought in to make the swap.

How long does a business phone number take to verify?

The estimate we worked with here was about five days, so the number was chosen first and the voicemail greeting was queued for the wait. Treat that as a planning figure, not a promise.

Do personalized videos help text follow-ups?

Our view going in was that a personal video in a follow-up text raises response, but that is a general expectation and not a result measured here. The broker was asked to record three to five clips for the sequences.
