Simplify GoHighLevel Automations for Real Estate Agents: Less Automation, More Follow-Up

By Alex Regueiro · October 25, 2026 · 4 min read

More automation in a CRM is not always better for the people working the leads. On a Northeast Ohio real estate team, automations in the middle of the pipeline were confusing the agents, and the team lead had become the relay point for every agent complaint.

The people involved were a real estate team lead, one of the team's agents, the team's assistant and us. If you run a team on GoHighLevel and your agents are lost in the setup, see our page for real estate agents and teams.

The situation

The team generates leads from Meta ads and works them in GoHighLevel. We held a working session on how to close those Meta leads, with an agent on the call who had installed the mobile app only that day.

That agent's first day with the app made the problem easy to see. The pipeline had automations in the middle, between a lead arriving and a lead being closed, and they were confusing the agents.

What was broken

Three problems stacked up.

First, mid-pipeline automations were confusing agents. Second, the team lead had become the relay point for agent complaints, which was not sustainable. Third, listing media from vendors was going to an outdated email address instead of to the people who needed it.

What we built

We cut the setup down to what agents need and gave the rest an owner.

  • We stripped every mid-pipeline automation. Only two kinds remain: lead-intake routing and internal notifications. The agent experience is now a clean one, with a lead arriving, an alert and a person acting.
  • A recap email with screenshots showing exactly what was turned off.
  • A full GoHighLevel SOP covering app setup, notifications, the Opportunities workflow and phone routing caveats.
  • The team's assistant now owns issue intake and follow-up to resolution. Agents report problems to the assistant, and the assistant tracks them until they are closed, so the team lead stops being the relay.
  • The team lead was to update vendor contacts so listing media goes to both the assistant and us.

What changed

No result was stated on the call. What the team has now is a simpler system and a clearer chain of responsibility. The only automations left are the ones that route a new lead and notify the team internally. Problems have a named owner who sees them through, instead of passing through the team lead.

The agent who had just installed the app was asked to turn on push notifications and save the GoHighLevel number that day. That small step matters because alerts only help if they reach the phone.

What to take from this

Open your own pipeline and list every automation that fires between a lead arriving and a lead being closed. For each one, ask whether it helps an agent follow up or just adds noise. Keep intake routing and the alerts agents need. Switch off or pause the rest until you can show it helps. Then pick one person to receive agent issues, so the team lead is not the help desk.

Frequently asked questions

Which GoHighLevel automations should a real estate team keep?

On this team we kept lead-intake routing and internal notifications, because they get a lead to the right agent and tell that agent about it. Everything in the middle of the pipeline was switched off to reduce confusion.

Why would fewer automations help agents follow up more?

When agents cannot tell which messages come from the system, they hesitate or duplicate work. A short list of automations lets them focus on calling and texting leads themselves, which is where the follow-up happens.

Who should handle agent complaints about the CRM?

Someone other than the team lead. Here the assistant took over issue intake and follow-up to resolution. The team lead had been the relay point for every complaint and could not keep doing that.

What belongs in a GoHighLevel SOP for agents?

This one covered app setup, notifications, the Opportunities workflow and phone routing caveats. Add screenshots where possible. An agent should be able to install the app and receive an alert without asking anyone.
